The System
Cold outbound is a pipeline, not a campaign. Every part connects to the next. If one stage is weak, the whole thing underperforms — and the failure is invisible until you’re three months in.
Here’s how ours is built.
The five stages
Section titled “The five stages”Signal → List → Copy → Send → Reply1. Signal
Section titled “1. Signal”Before we build a list, we identify what makes someone high-intent. Not just “VP of Sales at a Series B SaaS company” — but behavioral signals:
- Hiring for specific roles (a company hiring SDRs is scaling outbound)
- Technology stack changes (switching CRMs, adding marketing automation)
- LinkedIn engagement with competitor content
- Recent funding events
- Job change triggers (a new VP of Sales in month 1–3 is buying)
Most agencies skip this. They start with firmographics. We start with signals.
2. List
Section titled “2. List”We pull contacts who match both the ICP profile and the signal layer. Sources:
- Our proprietary OSINT pipeline (real-time open web data)
- Icypeas for GDPR-native email enrichment
- LinkedIn for intent signals and enrichment (read-only, not for sending)
- Public data: job boards, press, funding announcements
Every contact is verified before sending. We target sub-2% bounce rates.
3. Copy
Section titled “3. Copy”Every email is written individually for the prospect and the signal we found. No templates. No “Hi [First Name], I noticed [Company] recently [thing].”
We write copy batches of ~50 emails, deliver them for your review, iterate, and queue. By day 14, the first sequence is approved.
4. Send
Section titled “4. Send”We send from 10 mailboxes across 3–5 lookalike domains we own and manage. Your main domain never touches outbound.
Volume ramps over the warmup period (days 1–21) and reaches full capacity (~5,000 emails/month) by day 30.
5. Reply
Section titled “5. Reply”Positive replies are triaged within 10 minutes during business hours. We handle:
- Interested responses → qualify and book to your Cal.com
- “Not the right person” → ask for the referral
- “Not right now” → log and re-engage in 60–90 days
- Unsubscribes → suppress immediately
Why this order matters
Section titled “Why this order matters”Most agencies optimize for volume at the send stage. We optimize at the signal and copy stages. The math:
- 5,000 emails × 0.5% reply rate = 25 replies (template, recycled list)
- 2,000 emails × 4% reply rate = 80 replies (high-signal, unique copy)
Fewer emails, better results. That’s the entire premise.
What you own
Section titled “What you own”Everything we build is yours:
- Domains and mailboxes (transferred to you if you leave)
- The lead lists and contact data
- The copy sequences
- The metrics sheet
